Project Assistant: Part-time Contract

Chronicling Resistance at the Free Library of Philadelphia

The Foundation of the Free Library of Philadelphia seeks a Project Assistant for Chronicling Resistance at
the Free Library of Philadelphia. A collaborative initiative of the Philadelphia Area Consortium of Special
Collections Libraries (PACSCL) and the Free Library of Philadelphia, Chronicling Resistance will highlight
historical stories of resistance held in Philadelphia archives and help preserve documentation of current
resistance narratives. We envision this project to be a community-driven practice of shared authority
over Philadelphia’s history of resistance, the ways in which that history is accessed and interpreted, and
the material objects that are privileged in such interpretations.

The Project Assistant will work closely with the Project Director to offer administrative support to the
Activist-Curator Fellows, a cohort of Philadelphia activists, artists, and nontraditional researchers, as they
launch a series of public-facing programs and an exhibition meant to share their research with the
public. The ideal candidate is a thoughtful person who is as committed to community practice and
collaboration as they are to meticulously detailed spreadsheets. This position requires a person who can
adapt easily among bureaucracy, last-minute changes, and strong personalities.

This is approximately a one-year position running through December 2022. The salary is $18/hour,
maximum 20 hours per week. Some evening and weekend times may be required to be present at virtual
or in-person events. Most job duties can be completed remotely, and in-person events are rare.

Reports to: Chronicling Resistance Project Director
Start date: Immediately

Job Duties:

  • Manage logistics for Fellows’ community events
  • Maintain and expand activity on Chronicling Resistance social media channels
  • Work with Free Library HR and payroll to track payment for all project contractors and vendors
  • Create or maintain workflow systems and/or spreadsheets for Project Director, Fellows, vendors, and grants team
  • Liaise with host and event sites
  • Provide Free Library of Philadelphia Foundation Grants Department with receipts and other financial records for grant reporting
  • Provide technical support at meetings
  • Remind Fellows of deadlines
  • Assist on various aspects of exhibition and programs as needed

Qualifications:

  • 1-3 years experience with event planning
  • 1+ years experience with budgets and finances
  • Excellent written and oral communication skills
  • Adept at Excel, Google Sheets, Google Docs, Google Forms, and Slack
  • Project management software experience preferred
  • Knowledge of InDesign, Canva, and Adobe creative suites a plus
