Public Events Producer: Full-time Permanent

The Public Events Producer (director-level position) will be a well-read, community-connected, energetic member of the Community and Public Programs Team with multimedia and stage experience. They will support and produce programs and events and will report to the Managing Director, Public Programs. The Public Events Producer also serves as the Author Coordinator for the Field Family Teen Author Series.

Responsibilities:

Assistant Producer/Director Author Events:

  • Manage logistics for 120+ annual speakers and literary guests before and during events
  • Support logistical, administrative, and financial activities of Author Events
  • Introduce and interview authors on stage; Moderate Q&A’s
  • Serve as lead staff interviewer for on-stage talent interviews
  • Manage the Montgomery Auditorium and other Library spaces before and during lectures, and facilitate book signings
  • Support communications of Author Events: print/mail, online, and email
  • Prepare and edit printed materials, including brochures, press releases, ad copy, web content, introductions, and other written materials
  • Support and promote the Author Events social media presence
  • Process invoices and track the Author Events budget
  • Manage volunteers and office staff who assist the Author Events staff
  • Manage and assist authors during events
  • Prepare reports on seasonal outcomes
  • Substitute for the Program Director in his/her absence
  • Manage patrons during all stages of events
  • Serve as an internal representative for Author Events across the Free Library of Philadelphia system

Author Coordinator Teen Author Series:

  • Research, select (with approval of the Free Library’s Youth Services and Programs Division), book, and make travel arrangements, staff and manage 14 – 16 Teen Author appearances
  • Track the budget and create written materials for the Teen Author Series including brochures, surveys, and web copy
  • Prepare grant reports on annual outcomes

Fundraising and Resource Development:

  • Foster a culture of philanthropy mindset, actively engaging in fundraising efforts organized or attended by staff, and promoting the organization's mission and values in and outside the organization including but not limited to supporting the mission of the Foundation by promoting membership and promoting and attending events when appropriate
  • Engage with members, donors, and supports in attendance at events

Qualifications:

  • College degree with a minimum of two years experience with a cultural organization, publishing house, or multimedia production company
  • The prospective employee will have successful logistical, promotional, and financial tracking skills in support of cultural programming and have a well-developed stage presence
  • Proficiency with video editing software, social and multi-media content creation, as well as a familiarity with basic Microsoft Office applications (Excel, PowerPoint, and Word). Proficiency in graphic design programs is also essential.
  • Proven track record of successfully executing programs/projects
  • Exceptional verbal and written communication skills, coupled with the ability to engage an audience
  • Evidence of ability to multi-task with attention to details and logistics
  • Successful history of audience development strategies
  • Aptitude for collaborative work within a dedicated team
  • Proficiency in Microsoft Office Suite and Office database systems
  • Flexibility for evening commitments and occasional weekends

Job Type: Full-time

Pay: $80,000.00 - $90,000.00 per year
