Staff Accountant: Full-time Permanent

The Free Library of Philadelphia Foundation is looking for a Staff Accountant. Working under direction, this role will provide Accounting support and data entry at both book of original entry and general ledger levels in a networked computerized system with extensive departmental and project detail for The Free Library of Philadelphia Foundation.

Responsibilities include, but are not limited to:

  • Receive, code, review, and verify appropriate authorizations for all invoices
  • Enter vouchers into the accounts payable module and save the corresponding supporting documentation
  • Review and edit batch reports for accuracy
  • Complete check run, update cash management, and check log
  • Prepare Zelle and Integrated Payables files
  • Process all voided checks in system
  • File voided checks and maintain void check log
  • Investigate and resolve problems associated with the processing of invoices
  • Maintain and reconcile accounts payable aging report monthly
  • Reconcile and verify American Express bills
  • Keeping track of Credit Memos
  • Process annual 1099 report
  • Process unclaimed property
  • Monthly/Quarterly reconciliation of assigned balance sheet accounts
  • Additional responsibilities include fostering a culture of philanthropy mindset, actively engaging in fundraising efforts organized or attended by staff, and promoting the organization's mission and values in and outside the organization including but not limited to supporting the mission of the Foundation by promoting membership and promoting and attending events when appropriate
  • Other duties as assigned

Qualifications:

  • Bachelor’s degree in Accounting or Business Administration with a minimum of 5 years experience
  • Previous experience in Accounts Payable/General Accounting
  • Working knowledge of various financial Accounting software packages with experience working in a non-profit or not-for-profit environment is helpful
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook is required; general knowledge of accounting software is preferred
  • Ability to multi-task and meet deadlines
  • Excellent written, oral, and interpersonal skills required
  • Demonstrated ability for attention to detail, analyzing problematic situations, accuracy in calculations, and prioritizing projects are required
  • Must be able to function independently as well as in a team environment

The Free Library of Philadelphia is a 501 (c)(3) organization established in 1891, which employs roughly 130 full-time, part-time and seasonal staff. The current annual operating budget is approximately $10 million. The Foundation is governed by a Board of Directors. The President and Director of the Foundation is an officer for both the Foundation and the Free Library of Philadelphia, a City of Philadelphia governed agency.

The mission of the Free Library of Philadelphia is to advance literacy, guide learning, and inspire curiosity. While the city of Philadelphia provides public funds for the operations of the Free Library, The Foundation has been instrumental in assisting the Library in becoming an even more dynamic and exciting institution by raising funds for the Library’s services and programs, (including literacy programs, cultural programs, after school enrichment programming for children, culinary literacy programs, workforce development and digital literacy programs, One Book One Philadelphia, Read by 4th, and the Authors Series, among others). The Foundation is instrumental in raising capital funds through private sources for the renovation and improvement of Parkway Central Library and several of the neighborhood libraries.
